Rationale: Via Resolution 17.5 at their stated meeting on January 20, 2016 the Board of Trustees awarded a requirements contract to Greenman-Pedersen, Inc. (GPI), for an amount not to exceed $1 million.
Via separate resolution being present at the June 2017 stated meeting of the Board of Trustees this contract will be recommended to be amended to increase the upset funding limit to $1.5 million and extend the term for another 3 years.

This is to amend the subject assignment to pay for additional District directed work. The District has the need to separate the work being designed for School 30 into two discreet phases. The first phase “Reconstruction” will include the upgrades to the existing school building. The second phase “SSBA” includes the work for the addition of the 5 (now 6) classrooms to the existing building.

This phasing requires the consultant to segregate the phases into two different bid packages. They will be required to perform the Bidding and Negotiation work twice and will have added construction responsibilities since the two phases will be done at separate times.

CIP10732 is not a new project. It was developed and GPI was initially engaged to address parking and traffic issues. It was later amended to include exterior doors and a high tech security system compatible with and tied into the City’s systems. It was later amended again to include major infrastructure, site work and to build a five (now 6) classroom addition.

Reimbursement for the project is being sought from the Smart Schools Bond Act and conventional building aid.

At this time the anticipated cost of the project is now $10 million: $2 million for parking lots, $3 million for infrastructure and $5 million for the addition. The total reimbursement being sought is $8.5 million, local share to be $1.5 million.

GPI is already engaged as the A/E for this project working on the design for various features of the project. The total cost for their involvement to complete the above design and support revised project is including this amendment is $536,200.00.

Construction is for Phase 1 is targeted for 2018 and Phase 2, 2019.

WHEREAS: under Resolution 17.5 at the stated meeting on January 20, 2016, the Board of Education authorized the award of a requirements based, professional Architectural/Engineering services contract to Greenman-Pedersen, Inc. in response to District RFQ313 “Architectural & Engineering Services for the School Facilities Management Department” for an amount not to exceed $1 million, and

WHEREAS: work as defined under that contract is required for capital project CIP10732 “Restoration of Envelope, Security, Site, Parking and 5 (6) Classroom Addition” at School 30,

WHEREAS: the response by Greenman-Pedersen, Inc.to request for proposals RFP 420-17-06 issued by the Facilities Department was deemed most advantageous to the District at a cost not to exceed $86,900.00

NOW THEREFORE BE IT RESOLVED: That the Superintendent of Schools is hereby authorized to AMEND PO2018-206 Greenman-Pedersen, Inc., 400 Rella Boulevard, Suite 207, Montebello, NY 10901 to the task of providing professional Architectural/Engineering services for capital project CIP10732 “Restoration of Envelope, Security, Site, Parking and 5 Classroom Addition” at School 30, under Requirements Contract 617109 to Greenman-Pedersen, Inc., in the amount of $536,200.00 for a term of 3 years.
