Information Technology Department – GML104B PowerSchool (Contractor) Term – July 1, 2018 – June 30, 2021 Amount of Subscription – $298,747.29 – Year 1 includes annual SaaS fees, maintenance on existing customizations, additional customizations as needed as well as report card customization and maintenance on that customization: (Year 1 $260,948.26 - 2018-2019 SaaS fees, $9,411.03 – Maintenance on Customizations, $2,400.00 – Additional Customizations, $20,790.00 – Report Card Customization and $5,198.00 – Maintenance on Report Card Customization) $283,824.00 – Year 2 Estimated Cost (July 1, 2019-June 30, 2020) – Includes annual 3.0% increase. $302,638.72 – Year 3 Estimated Cost (July 1, 2020-June 30, 2021) - Includes annual 3.0% increase. Account Number 450-5202-1000000-2705-B2300 (Year 1 $298,747.29 - 2018-2019 Local Funds - Contractual) Scope – The purpose of this resolution is to renew the annual hosting and maintenance fees for eSchool Plus, while the District migrates from eSchool Plus to PowerSchool during the 2018-2019 school year. In February 2017 PowerSchool acquired Sunguard Public Sector, and assigned all customer accounts and agreements, including eSchool Plus, to PowerSchool. Based on the acquisition and several presentations of the PowerSchool Student Information System (SIS), the District has made the decision to move to the PowerSchool platform for all SIS functions. We will continue using eSchool Plus as our SIS and begin the implementation of PowerSchool, which will include configuration of PowerSchool and the conversion of eSchool Plus to the new PowerSchool platform with an anticipated July 1, 2019 “go live” date, with a total cost for Year 1 of $278,759.29. In addition to the annual fees associated with this resolution, there are the costs associated with the customizations of the District’s report cards and the associate maintenance. The District convened a committee consisting of teachers, administrators and Central Office administrators to review the existing report cards and develop new ones for use in the 2018-2019 school year. The cost for the new report cards and maintenance are $20,790.00 and $5,198.00 respectively, for a total cost of $298,747.29

WHEREAS this resolution is for the 2018-2019 eSchool Plus hosting and maintenance fees. In February 2017, PowerSchool acquired Sunguard Public Sector and assigned all customer accounts and agreements to PowerSchool. Based on the acquisition, the District made the decision to move to the PowerSchool platform from eSchool Plus, and, WHEREAS 2018-2019 will be a migration year to the new platform, we will continue using eSchool Plus during the school year. The configuration, implementation, migration and training will be done over the course of the school year, with an expected “go live” date of July 1, 2019, and, WHEREAS the District will continue to use eSchool Plus for the majority of the 2018-2019 school year while we transition to PowerSchool. Additionally, as a result of the work of the District’s Report Card Committee, PowerSchool will be developing new report cards for use District-wide at a cost of $20,790.00 and an annual maintenance on this customization of $5,198.00. NOW THEREFORE BE IT RESOLVED: That the Superintendent of Schools is hereby authorized to enter into an agreement with PowerSchool to continue to provide eSchool Plus, during the migration to PowerSchool, hosting/maintenance and the production of the customized report card and the associated maintenance at a total cost of $298,747.29 for the 2018-2019 school year.
