Scope – This resolution is to amend Board Report 18.3 dated September 19, 2017 which was for the annual renewal of hosting services of eSchool Plus. At the March 22, 2018 Stated Meeting the Board approved Resolution 18.4, which was amended the original resolution to include the eSchool Plus Family App at an additional cost of $9,503.28, bringing the total cost for the 2017-2018 school year to $274,456.28. This amendment, for which we are seeking Board approval, is for an additional $116,210.53, bringing the total cost for the 2017-2018 school year to $390,666.81. In February 2017 PowerSchool acquired Sunguard Public Sector, and assigned all customer accounts and agreements, including eSchool Plus, to PowerSchool. As a result of the acquisition and several presentations of the PowerSchool Student Information System (SIS), the District has made the decision to migrate to the PowerSchool platform for all SIS functions. The additional $116,210.53 allows the District to begin the migration process in June 2018 as well as begin to provide training to the Student Information System team and school based staff as we prepare to start the migration and PowerSchool University as an additional training resource. The migration and training are expected to be ongoing beginning in June 2018 and go through June of 2019, with an anticipated “Go Live” date of July 1, 2019.

Resolution: WHEREAS at the September 19, 2017 Stated Meeting, the Board of Trustees approved Board Report Number 18.3, for the annual renewal of hosting services of eSchool Plus, at a cost of $264,953.00, the District’s current Student Information System (SIS), which has successfully provided all District-wide student information system functionality for the past nine years, and,
WHEREAS in March 22, 2018 Board Report 18.4, which was an amendment to the above Board Report for an increase of $9,503.28 to include the eSchool Plus Family App, bringing the total cost of the contract to $274,456.28. In February 2017, PowerSchool acquired Sunguard Public Sector and assigned all customer accounts and agreements, including eSchool Plus, to PowerSchool. Based on the acquisition, the District has made the decision to migrate to the PowerSchool Student Information System platform from eSchool Plus, and,
WHEREAS this amendment to Board Report 18.3 dated September 19, 2017, is to allow the District to begin implementation, configuration, migration and the necessary training for the transition to PowerSchool from eSchool Plus, beginning in June 2018, as well as provide access to PowerSchool University, at a cost of $116,210.53. The District will continue to use eSchool Plus for the majority of the 2018-2019 school year while we transition to PowerSchool. The implementation, migration and training of staff will begin in June 2018 and continue throughout the course of the 2018- 2019 school year.
NOW THEREFORE BE IT RESOLVED: That the Superintendent of Schools is hereby authorized to enter into an agreement with PowerSchool to begin the migration from eSchool Plus to PowerSchool, beginning June 2018, provide required training for the eSchool Plus team for the implementation, as well as PowerSchool University, at a total additional cost of $116,210.53 bringing the total cost for the contract to $390,666.81.
